We are seeking a detail-oriented and friendly Office Manager to be the first point of contact within our professional services firm. This role requires multitasking across a range of responsibilities, including administrative tasks, customer service and scheduling.

Our client is a renowned international investment fund with offices located in central Madrid.

¿Qué harás en tu nuevo puesto?

  • Dealing with matters relating to the running of the office independently/with minimal supervision, while ensuring the office is always immaculate.
  • Managing busy meeting room schedules and liaising with business guests.
  • Manage and maintain all company vendor/supplier accounts, with the ability and drive to negotiate new contracts with service providers such as cleaners, couriers, taxis, electricity suppliers, Health & Safety Consultants, to ensure the smooth running of the office.
  • Extensive diary and travel management and expense processing.
  • Providing practical assistance to ex-pat colleagues including visiting colleagues.
  • General secretarial duties; opening, distributing and, where appropriate, dealing with all mail.
  • Answering and processing telephone calls quickly and efficiently.
  • Assisting with administrative processes, maintaining up-to-date filing systems, both hard and soft copy.
  • Build collaborative relationships with UK-based IT, Finance, Facilities and HR teams and other Office Managers.

¿A quién buscamos (H/M/D)?

A successful Receptionist – Office Administrator should have:

  • Proficiency in Microsoft Office Suite.
  • Proficiency English Level (C2), with a high level of business vocabulary.
  • A high school degree; additional certification in Office Management or Secretarial is a plus.
  • A proven track record in a demanding Office Manager role.
  • Extensive organisation and problem-solving skills, with the ability to manage several tasks under demanding deadlines.
  • Confident working independently with limited direction.
  • Strong interpersonal and written communication skills.
  • Previous experience in handling confidential and commercially sensitive information.
  • Articulate and diplomatic, remaining calm in a demanding environment.
  • Demonstrate a flexible approach; understand the demands of a busy team and quickly assess, propose, and adapt solutions unique to each situation.
  • Demonstrate a strong sense of urgency, with a proactive “get the job done” attitude, a desire to exceed expectations.
